Lodge Program Coordinator

Position Overview: The Program Coordinator oversees the planning and execution of all programming and events at the Lodge, ensuring a welcoming and well-organized environment for guests, community members, and staff. This position supports community engagement and connection through event scheduling, facility preparation, logistical coordination, and collaboration with internal teams and external partners. Minimum Qualifications​

  • Minimum of one year of experience in program planning, event coordination, or administrative support within a healthcare, nonprofit, or community-based setting.

  • Experience coordinating event schedules, preparing facilities, and supporting guest or speaker logistics.

  • Desire to work in and sustain a biblically based treatment environment.


Preferred Qualifications

  • Bachelor's degree in communications, marketing, hospitality, business, behavioral health, or a related field.

  • Two or more years of experience in event planning, program coordination, or facility-based operations within a behavioral health, healthcare, hospitality, or nonprofit setting.

  • Experience coordinating logistics for multiple events, workshops, or support groups involving both internal and external stakeholders.

  • Experience managing event-related budgets, vendor relationships, and marketing collaboration.

  • Experience working in a faith-based, recovery-focused, or mission-driven organization.

 

Required Skills and Abilities

  • Strong interpersonal and customer service skills, with the ability to build rapport and maintain positive relationships with guests, speakers, staff, and community partners.

  • Excellent verbal and written communication skills.

  • Strong organizational skills, with the ability to manage multiple priorities, adapt to changing timelines, and solve logistical challenges.

  • Ability to coordinate event logistics, communicate effectively with internal teams and external vendors, and follow through on detailed planning tasks.

  • Self-motivated and dependable, with the ability to work independently in a dynamic or start-up environment.

  • Proficiency in Microsoft Office 365 applications and comfort using scheduling or project management tools.

  • Access to reliable transportation for required local travel and on-site event support.

 

Position Requirements

  • Oversees the planning, scheduling, and coordination of all programming and events hosted at the Lodge.

  • Manages the Lodge event calendar, coordinates internal and external requests for space use, and oversees logistics for outside groups utilizing the facility.

  • Ensures the Lodge facility is clean, well-organized, and fully prepared for each event, and provides on-site support during events, including setup, troubleshooting, and clean-up.

  • Serves as the main point of contact for guest speakers, facilitators, and partners, providing timely communication and logistical support before, during, and after events.

  • Supports collaboration with marketing staff to promote Lodge events and ensure outreach materials and communications are aligned with program goals.

  • Establishes and maintains event-related budgets, tracks expenses, coordinates with vendors, and ensures events are delivered within scope and financial guidelines.

  • Identifies and implements improvements to enhance the efficiency, hospitality, and mission alignment of Lodge programming.

  • Performs other duties as assigned.

Compensation

  • This is a paid contractor role. Compensation will be provided at an agreed-upon hourly rate.


Minimum Physical Requirements

  • Ability to sit or stand for extended periods while performing administrative or event-related duties.

  • Ability to move throughout the facility to support staff, guests, and event setup needs.

  • Ability to travel locally for meetings, activities, and events as required.

  • Proficiency in using a computer, telephone, copier, and other standard office equipment.


Work Environment

  • Primarily an on-site position based at the Lodge, with presence required during events and in-person programming.

  • Involves regular engagement with guests, speakers, staff, and community members through in-person or virtual interactions.

  • May include occasional remote work during non-event periods to support scheduling, communication, and administrative planning.

  • Professional and clinical setting with standard lighting, temperature control, and moderate noise levels.
